POSITION:
EPS SERVICE SUPPORT ADMINISTRATOR POSITION Overview:
Primary coordination and communications of the EPS Service Division's business which includes a wide array of ownership in service scheduling, financials, clerical, accounting, payroll reconciliation, tracking and reporting of key business measurables, EPA refrigerant compliance, fleet vehicles, purchase orders, safety training scheduling along with special assigned tasks that are critical to the safety and success of our company.
This position is in direct contact and support of the EPS management and accounting team.
KEY
Responsibilities:
Manage the administration of:
Full support of all Service Technicians across the spectrum of our service delivery model.
Daily support of all company client needs and concerns.
Maintain the on-going service technician schedule within the service software program.
Maintain all open service work orders to ensure efficient delivery of services and closeout of all orders upon job completion.
Issuance of all Service Division purchase orders Reconcile all costs associated with each service job to ensure the accuracy of invoicing.
Track and maintain all under-billed service order costs and strategically schedule jobs to be completed within the month opened by use of WIP, DSO and other CRM reports.
Run and provide key business reports from our CRM for management's review.
Demonstrate full understanding of all company contract types and associated T & Cs for each.
Maintain all service contract documents in our database with focus on key points such as renewal dates, purchase orders, client communications, etc.
Ownership of our Refrigerant Tracking Program to maintain governmental compliance at all times.
Weekly payroll reconciliation to all service hours worked versus documented.
Ownership of required employee safety training scheduling and renewals for all existing accounts, regulatory certifications, and EPS internal safety program to maintain 100% on time compliance for all employees.
Maintain all service fleet vehicle maintenance & repairs scheduling, vehicle inventories, and quarterly inspections.
Work in daily coordination with the Service Divison's manager with a high level of effective communication to maintain and promote business growth.
REQUIRED
Qualifications:
Only experienced and qualified applicants will be considered.
THIS IS NOT AN ENTRY LEVEL POSITION.
Minimum years of experience as listed are required.
Industrial, Petrochemical and Marine industry experience in the HVACR sector is preferred.
Must have a proven history at a professional level of experience applicable to this positions duties and requirements.
Extremely effective communicator both in verbal and written formats.
Extremely effective in time and decision management while maintaining the highest levels of quality, accuracy, and effectiveness.
Must be highly proficient in the full use of a computer in all standard software
software programs specific to our company and industry.
Ability to deal with and support clients one-on-one in a professional and pleasant manner at all times.
Solid knowledge of business financials such as cash flow, AR, AP, revenue, gross profit $/%, Net, etc.
Must be comfortable in stressful, fast paced / high pressure situations.
Able to work normal working hours M-F, plus some overtime and availability to take calls after hours at any time needed.
