Facilitate the efficient operation of the Southeast Texas RDSPD by providing clerical and fiscal management support to the Supervisor and the RDSPD staff.
Qualifications:
Education/Certification:
High school diploma or GED Advanced clerical training courses preferred Special Knowledge/Skills:
Effective communication and interpersonal skills Proficient word processing and typing skills Strong organizational and file maintenance skills Knowledge of general office practices and procedures Competent math and some booking skills
Experience:
Minimum of 3 years as a secretary, preferably in special education MAJOR RESPONSIBILITIES AND DUTIES:
1.
Perform the routine work activities and practices associated with a productive RDSPD office, including but not limited to:
Exercise good telephone etiquette, take reliable messages, answer questions, and direct calls to the appropriate staff.
Type correspondence, reports, and memos.
Send and retrieve email messages and facsimiles.
Maintain information files and personnel files.
Prepare mail for review and distribution.
Monitor RDSPD office equipment to ensure proper working status.
2.
Verify RDSPD Annex staff and paraprofessionals attendance via time card management in district's TEAMS system.
3.
Enter work orders for IT assistance via the district's staff portal.
4.
Order asset tags for RDSPD technology equipment via the district's Eduphoria system.
5.
Receive, store, and issue supplies to RDSPD staff.
6.
Detect and solve problems with requests for supplies/equipment, requisitions, and vendors.
7.
Maintain roster for all RDSPD students, listing of site-based RDSPD students, listing of itinerant RDSPD students.
8.
Prepare materials, notifications, agendas, and rooms for RDSPD meetings and inservices.
9.
Organize routine work activities and records with little or no supervision.
10.
Prepare proposed federal application for approval and submits to state agency.
Requires projecting cost of salaries and benefits, contracted services, supplies/materials, travel, and equipment for the following year.
11.
Prepare billing of member districts in the RDSPD for the local funds part of RDSPD budget.
12.
Set up approved federal applications and grants for local budget use.
13.
Receive all RDSPD staff requests for materials/equipment and prepare requisitions from proper funding source, for purchase.
14.
Acquire price quotes or bids on purchases exceeding allowable amounts.
15.
Prepare requisitions for all RDSPD department travel.
16.
Match invoices with proper purchase orders for business office to issue payment.
17.
Confirm balances in accounts for all requisitions.
18.
Interface with business office in preparation of financial reports.
19.
File office copies of requisitions, purchase orders, invoices and requests from RDSPD personnel.
20.
Prepare all RDSPD contracts for additional services required by students.
Contracts include:
required services to be provided, schedule of services, cost for services and schedule of payments.
21.
Maintain vendor files and set up new accounts when changes occur.
22.
Conduct periodic checks of funding reports and accounting reports to keep records up-to-date.
23.
Attend any necessary district or regional meetings dealing with grants/budgets overseen in the department.
24.
Keeps informed of and complies with federal, state, and local regulations.
25.
Stay up-to-date professionally through the selection of quality staff development opportunities for professional and personal growth.
26.
Interface with the RDSPD member districts (29) and the community in person and by phone in a positive and informed manner regarding issues that affect students, staff and community.
27.
Assist supervisor in preparation for the RDSPD Management Board meetings.
28.
Maintain and ensure confidentiality of information for the RDSPD supervisor, staff, students and program.
29.
Verify RDSPD Annex staff and paraprofessionals attendance via time card management in district's TEAMS system.
EQUIPMENT USED:
Computer, printers, copier, shredder, calculator, fax machine, and any other equipment needed for work efficiency.
District network computerized systems:
TEAMS, Eduphoria, Staff Portal and any other network computerized system needed for work efficiency.
